Applications & Deadlines

Applications are accepted at various times throughout the year via the online booking system. Each requests is reviewed on an individual basis and may take some time for the various coordination and approvals to be obtained. Applications must be submitted no less than 15 business days prior to the requested first date of use. If you require an answer by a certain date for marketing purposes, ensure you apply with 15 business days notice from that date instead of the first date of use. 

Applications are reviewed on an individual basis. Various approvals and coordination is required for each event. As such, once an application is submitted we are unable to provide an update on the status of the request. You will be updated via the online booking system and email directly as information is available. Ensure you respond promptly to prevent delays in processing your application. 

Licensed Childcare

When space for licensed childcare becomes available, a Request for Expression of Interest (REOI) will be advertised on the BC Bid website along with the requirements for that particular space. Operators wishing to open childcare programs in the district are encouraged to continuously monitor the BC Bid website for future callings.

Motion Picture Productions

We offer a variety of spaces available for motion picture productions. Contact rentals@surreyschools.ca with more information about your production including the dates/times and requested sites. Photos of locations are available for viewing under the "catalogue" here

Important Deadlines

Historical Users:

Groups that rented space in the previous year are given first right of refusal for the same dates and times if a renewal request is submitted by May 15, 11:59pm annually. Changes to dates, times, or spaces are classified as a new application. Groups eligible for renewal bookings will be contacted by email at the end of March annually for next steps in how to submit a renewal request. 

New Applications:

New bookings for the period of September - June are accepted on a first-come, first, served basis starting May 16, 12:00 am. 

Bookings During Summer, Winter and Spring Break: 

Available space during school closures will vary year to year due to the high volume of maintenance and district programs. Rentals during school closures do not get first right of refusal for usage of the same space, dates and times they had in the preceding year. All requests for space during school closures will be considered together and new each year. The School District will endeavor to fulfill as many rental requests as it can accommodate until space is full. We cannot guarantee all requests will be approved in full.

Field Applications: 

Historical field groups do not get first right of refusal for the same space and time as they had the preceding year. The availability of fields change annually and community needs change significantly each year. All field requests will be considered together and new each year.

The School District will endeavor to fulfill as many field rental requests as it can accommodate until space is full. We cannot guarantee that all requests will be approved in full.

Ensure your request is submitted by May 15 at 11:59pm for consideration in the Field Allotments for the upcoming school year. Once space is allotted, we will continue to accept applications for the remaining available space.
