Volunteer Driving - New Process 2025

October 6, 2025

Dear A.J. McLellan Families,

The Ministry of Education has introduced a new policy that is now in effect in all schools across B.C. As part of this policy, parent volunteer drivers are required to provide both a Criminal Record Check (CRC) and an ICBC Driver’s Abstract before they can transport students on school field trips or events.

This policy has been implemented to ensure the highest level of safety for students. By completing both checks, schools can confirm that volunteer drivers have safe driving records and that they meet the necessary standards to supervise and transport children.

Due to delays caused by the ongoing BCGEU labour action affecting the rollout of the centralized online CRC process, the district is introducing an interim solution to keep things moving smoothly.

What is required to hand into the office for parent volunteers:

  • Driver’s Abstract: You will need to provide a driver’s abstract, available through ICBC.
  • Criminal Record Check (CRC): While the online CRC process is not yet available, volunteers may complete a Police Information Check (PIC) in person through their local police department. To ensure there is no cost, the school will provide a volunteer letter on school letterhead confirming you are volunteering.  Please email the office at ajmclellan@surreyschools.ca to obtain a volunteer letter with your legal name.
  • Vehicle Insurance Documents
  • Drivers License
  • Completed Driver Application Form

This temporary process will remain in place until the online CRC system is available. At that point, volunteers will be able to complete their CRC online through the Criminal Records Review Program, and we will notify families right away.

Helpful resources for parents (please see attachments):

  • Volunteer Drivers Information Guide with step-by-step instructions.
  • Q&A sheet answering common questions.
  • Driver Application Form

We truly value and appreciate our parent volunteers. Thank you for your patience and support as we work through these changes together, keeping student safety at the heart of everything we do.
